All invoices for services provided under your SFY 2012 Benchmark contract must be submitted through PreventionIdaho.Net by 5:00 PM Pacific Time on July 13, 2012.  Per your contract with Benchmark, no invoices submitted after the deadline will be paid. This is a firm deadline. Note that all demographic, program attendance and outcomes data from SFY 2012 must be entered in order to invoice by the July 13, 2012 deadline. After the deadline, all SFY 2012 data entry and invoice submission links will be “locked out” as part of Benchmark’s SFY 2012 close out procedures.

Program and outcomes data entry close out procedures

Please take a moment to close your outcomes data entry sessions and indicate the final status of your SFY 2012 programs.  Until you move the outcomes and programs to Completed status, we can't tell if you are truly finished with your SFY 2012 work or if issues are still pending. 

To close your outcomes data entry sessions, click on the Outcomes link to the right of each recurring program on your homepage.  Once you have finished entering your pre-test and post-test survey data, change the status in Step 4 for each to Complete.  In addition to activating the outcomes report link for that program, moving the statuses to Complete indicates that you have met the outcomes requirement for that program.

To close each of the programs on your homepage, click on the "Change Status" link to the right of each program, and indicate that program's final status for SFY 2012.  Once the program has been completely delivered and all data are entered, change the status to Completed.  If a program was cancelled and no classes were delivered or invoices submitted, please change the status to Cancelled.  Because we have passed the end of the state fiscal year (6/30/2012), there should be no Active SFY 2012 classes at this time.

Fiscal Reports

Did you know that PreventionIdaho.Net generates financial reports to help with end of the fiscal year issues?  From the Reports page off of your homepage, you can run the "Program Financial Summary" and "Fiscal Year Check History" reports.  The Program Financial Summary shows the funding level, total amount of services invoiced and payment status for each of your SFY 2012 programs or services.  The Fiscal Year Check History report shows all checks paid to your organization in SFY 2012, as well as which programs and program sessions were covered by each check.
